CallsHandled provides an AI phone receptionist that answers calls, books appointments, and passes messages to businesses ("Clients"). This policy explains what we collect and how we use it. CallsHandled is operated by AdsHandled in Palm Beach, Florida.

Who this covers

This applies to our Clients (the businesses that use CallsHandled) and to callers who reach a CallsHandled-powered line. If you are a caller and have questions about how a specific business handles your information, that business is the controller of your data; please contact them directly.

What we collect

Call recording

Calls handled by the service may be recorded and transcribed so the answering business has an accurate record and so we can provide, secure, and improve the service. Where recording disclosure is required (including two-party-consent states such as Florida), the AI discloses that the call may be recorded. Clients are responsible for their own compliance with applicable call-recording laws.

How we use information

We do not sell personal information.

Service providers

We share information only with vendors that help us run the service — for telephony, speech and language processing, hosting, and payment processing — under agreements that limit their use of the information to providing services to us. We may disclose information if required by law.

Retention & security

We retain call recordings, transcripts, and account data for as long as needed to provide the service and meet legal obligations, then delete or de-identify it. We use reasonable administrative and technical safeguards to protect information, though no method of transmission or storage is perfectly secure.

Your choices

Clients may access, correct, or request deletion of their account data and associated call records by contacting us. Depending on your location, you may have additional rights under laws such as the CCPA. We honor verified requests as required by law.

Google account connections

The CallsHandled Google application supports calendar booking and optional Ledgerline account tools. Each connection requires the account holder to complete Google's consent screen. Buying a service or asking an agent to connect does not grant access. Only the permissions shown for the selected connection are requested.

Ledgerline Google connections and scans remain gated while provider authorization and launch checks are incomplete. A description here is not a claim that a connection is available or Google-approved.

Google data use, storage, and sharing

Google data is used for the account holder's selected scheduling or private reporting feature. The current Gmail scan extracts invoice and subscription information using application rules; it does not send email contents to a generative AI service. We do not use Google data to train general-purpose AI models, target advertising, determine creditworthiness, or sell information.

Our cloud hosting and database providers, Netlify and Neon, process or store the information needed to run these features. Stored records may include calendar connection preferences, appointment references, selected email text and metadata, scan progress, reports, and private drafts. Ledgerline authorization credentials are encrypted before database storage. Calendar credentials are protected on managed connection writes. Credentials are not returned to an agent; an authorized agent can receive the private reports and drafts permitted by its account capability. Share that access only with agents you trust.

We restrict human access to Google data to your affirmative consent for specific data, security needs, or legal obligations. Transfers are limited to providing the features you authorize, protecting the service, or meeting legal obligations. Our use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements. These Google-specific limits apply in addition to the general service-provider terms above.

Disconnecting Google and requesting deletion

You can revoke the application's Google access in your Google Account connections. CallsHandled also provides calendar disconnection in booking settings. Revoking access prevents future authorized Google API access; it does not automatically erase existing reports, drafts, connection history, or appointments already created in Google Calendar.

To request deletion of stored Google-derived records and connection credentials, contact us using the details below and identify the connected account and service. We verify requests before processing them. We have not implemented a fixed automatic deletion interval for these records; retention depends on providing the service, resolving support or security issues, and applicable legal obligations. We do not promise immediate deletion from backups. You can remove previously created calendar appointments directly in Google Calendar.
